Prepay-IT Contract

For those organisations that would prefer to retain total control over their IT support expenditure, calling on us only when required, we can provide a guaranteed level of support with fixed response times under our straightforward Prepay-IT package.

It is our experience that, even where an organisation is able to provide a high degree of support internally, there will be problems and issues that arise over the course of a year where access to external support is required. This may arise, for example, where new equipment is being installed, or a problem is sufficiently severe to need outside expertise.

For organisations that do not wish to commit to an annual support contract, our Prepay-IT contracts are for you. They provide an ideal balance between the certainty that we will always be available to assist you when required, and the ability to decide how often and for what purpose you wish to call upon us.

You can use the contract for any support requirement you wish, whether it is routine maintenance, updating software, repairing failed hardware, or solving an individual user’s problem such as lost or corrupted files.

Pro-active Monitoring

All Prepay-IT packages include weekly monitoring of your system to keep your system secure and up-to-date. Should problems arise we will contact you to advise you what the issues are so that you can decide whether you want us to assist in resolving the problem.

Our Prepay-IT‘ package comprises bundles of time which you can use for any purpose you require related to the routine maintenance and support of your IT infrastructure. The hourly equivalent rate of our prepay bundles is considerably less that our non-contractual ad-hoc rates, and the more minutes you pre-purchase the greater the discount. The minutes do not expire if you do not use them so you can pre-purchase a suitable bundle secure in the knowledge that you can use as much or as little of the bundle as require, whenever you want.

We have three packages, as shown in Table 1. You decide how many minutes you wish to pre-purchase and select the appropriate Option package – the more you buy, the cheaper per minute they become (all prices exclude VAT).

Weekly monitoring of your network will be automatically deducted from your bundle each time it is carried out. For a typical server and 5 workstation small network this will take no more than 30 minutes a week. In addition we provide monthly reports on your netowrk’s status completely free-of-charge.

When you make a support call, minutes are used up in 15 minute segments for Remote Support work and 30 minute segments for work carried out onsite.

For onsite work there is also a small call out fee to cover our travel and administration costs which varies according to the response you require. If our engineer is onsite for more than 4 hours on a single call-out, the fee will be discounted by 50%.

The call-out fees are summarised in Table 2.

Your minutes will be deducted from your balance as and when support is used. There are no further charges or hidden costs for our engineers’ time whether provided remotely or onsite.

Your minutes can be used to cover all the support you require, including ad-hoc consultancy and project services provided by our engineers. Should you wish to use the time for major projects – for example, an engineer is required to install ten new desktop computers – then we may require up to 28 days written notice in advance.

Where consultancy or major projects require a manager (project or IT) or a technical specialist beyond our normal hardware and software engineers then further charges will apply in accordance with Table 3. All project work will be quoted for and agreed with you in advance so that there are no hidden charges. As we say – we know how you hate unexpected charges!
